
In order to facilitate the smooth handling for individual travellers and tour groups, the following terms and conditions apply :
RESERVATION
All reservations should preferable be made as early as possible with detailed arrival and departure dates, itinerary flight schedules, hotel alternatives, group sizes (especially for reservations in Bali) at least 2 months in advance.
CONFIRMATION
Confirmation of all details including flights, hotel reservations and tour itineraries are usually made by telex, facsimile or by airmail. No additional charge is rendered for this service.
PAYMENT
Payment should be made at least 2 weeks prior to the clients arrival at the first destination point, except during peak seasons where earlier deposit may be required by individual hotels. Failure to comply with this condition may result in the cancellation of all reservations and arrangements without notice, unless special credit arrangements have been made.

E-voucher will be sent to you after payment has been done. Please print this e-voucher and bring together with you and show to the receptionist of the hotel upon check in. Copy voucher is also sent by VIP Tours & Travel. to the respective hotel Only service (s) stated on the voucher will be on VIP Tours & Travel account and other expenses is on your personal account
E-CUSTOMER RECEIPT
Due to payment, VIP Tours & Travel convert USD to Rupiah according to day’s exchange rate. And you will receive this together with E-voucher.
CANCELATION
VIP Tour will not levy cancellation charges. However, cancellation charges may be levied to you if the individual hotel, restaurant, carrier or contractor etc, with whom the commitment has been made with, requests a cancellation charge.
CANCELLATION IN A LOW SEASON PERIOD :
Should your cancellation is made within these following periods; a cancellation fee win be charged over you.
IN A HIGH SEASON PERIOD :
Should your cancellation is made within these following periods; a cancellation fee win be charged over you.
IN A PEAK SEASON PERIOD:
Should your cancellation is made within these following periods; a cancellation fee win be charged over you.
Once your reservation has been confirmed, we will charge your credit card 14 days in a low season & 30 days in a high & peak season. There will be 5% administration fee if cancellation is made before the above mentioned periods.
EXCHANGE RATE FLUCTUATIONS
Difference in personal statement balances can occur and are due to the fluctuations with the Indonesian Rupiah and bank processing time. VIP Tours & Travel. can not hold the responsible for these differences.
PROCEDURE OF RESERVATION
No reservation will be proceed if we don’t receive credit card details. In the event of non-receipt, there will be notification that the reservation is incomplete. You may choose to send either by facsimile or email. Your reservation will be confirmed within less than 12 hours. If the room at your selected hotel is not available at the time, you will be notified by our Travel Consultant an alternative hotel with similar features will be suggested to you or alternatively your request will be put on waiting list.
If your hotel is not on our site, please supply us with details of the hotel and we can follow up for you. Short notice of reservation will be handled according to room availability of the hotel. However, we shall normally require 14 (fourteen) days in advance. Please be aware on peak season e.g. Christmas and New Year, reservation must be made far in advance to avoid inconvenience, minimum two months ahead is required.
CHANGE OF CONFIRM RESERVATION
For some reason you can rot stay at the hotel according to your fixed reservafion and You want either to extend your stay or earlier departure. Please immediately contact us in order to gel assistance and VIP Tours & Travel will not be responsible for any loss, refund whatsoever.
COMMUNICATION
As we communicate mostly through email, please make sure your email is correct or in case we need your telephone or facsimile as communication is not always reliable, please supply us.
REFUNDS
A refund is not possible without prior notice. All refunds are subject to the terms and conditions laid down by individual hotels, restaurants, carriers, contractors etc. A no refund applies for ?NO SHOW? or services not utilized by certain tour members.
TOUR FEES
All prices quoted in this tariff are nett in US Dollars and subject to change with or without prior notice.

VALENCIA INTAN PERMATA ( VIP TOUR ) and its agents act only as the agent of the passenger(s) in all matters relating to hotel accommodation, sightseeing tours and transport whether by aircraft, rail, motor coach, ship, boat or any other means of transportation and shall not be liable for injury, delay, loss or damage arising from any cause and in any manner, while exercising reasonable care in making such arrangements. Furthermore, P.T. VALENCIA INTAN PERMATA Tour & Travel ( VIP TOUR )accepts no responsibility for any damage or delay due to sickness, pilferage, labour dispute, machinery breakdown, quarantine, government restraints, weather or anything else caused beyond their personal control. The right is reserved to cancel or change itineraries or to substitute services without notice and decline to accept or retain any tour members at any time. No refund shall be entertained for any act, omission of event during the time passenger(s) forming the group changes his/her mind by not attending the tour.
